How to Use AddressingOnline

Action Invitations clients ordering invitations from our Carlson Craft Social invitation line can purchase an optional service to address your inner and/or outer envelopes. This service is called AddresingOnline.com. It requires you to create an account, log into the account, and to create and administer lists. When you are finished entering the list and have fully reviewed it to ensure no errors, you approve the list by submitting it for printing.

Because we felt this process will be easier with a bit of explanation, we have documented the process from logging into their system through entering your addresses, editing them, and pricing the cost for each envelope. However, this is not our system. If you have questions about this service, you can direct an email to the company providing this service at service@addressingonline.com.

Setting Up a List with AddressingOnline

Instructions regarding setting up a list in AddressignOnline are described below.

  1. Direct your web browser to Addressing Online.com.
  2. If you don't already have one, create an account by selecting the link Click here to create a New User!
  3. If you have an account, enter your user name and password and click Login.
  4. To begin creating your guest list for addressing purposes, click Create New List.

    The Select Printing Options window appears.

  5. Select your printing options.

    Printing options include the following:

    • Which envelopes to address (inner, outer, or both)
    • The lettering style (type face) used on the envelopes
    • The ink color
    • The name of your list

    These options are critical, so make sure you understand the various options. You can change any of these settings later if needed (see the topic Editing an Online Address List for details.)

    Which Envelopes to Address

    • If you want the addresses you enter into your list to be printed on the front of each guest's invitation inner envelope, then for the Front of inner envelope option, select Yes.
    • If you want the addresses you enter into your list to be printed on the front of each guest's invitation outer envelope, then for the Front of outer envelope option, select Yes.
      If you select this option, you will enable an option to print on the back flap of the outer envelope. We recommend that you select NO for this option, and specify your return address printing as part of the invitations ordering process, NOT as part of the online addressing.

    • For the Back flap of Outer Envelope option, select No. It is better to specify return address / back flap printing as part of the invitations ordering process.

    Select a Lettering Style

    The Lettering Style determines the typeface used on the envelopes. There are over 150 lettering styles available, and each allows you a quick preview of the typeface. As a rule of thumb, it is traditional to use a cursive style on envelopes, or use a type style that matches the one you used for the invitation itself.

    Whichever style you select will be used for inner and outer envelopes (or whichever you have selected).

    Select an Ink Color

    The ink color you select here determines the ink color used for printing your envelopes. There are over 80 ink colors available, and each shows a representative sample of the ink on the screen. Note that because of web browsers, screen resolutions and the varying color calibrations of each monitor, the colors shown are only an approximation of the actual ink.

    Whichever color you select will be used for inner and outer envelopes (or whichever you have selected).

    Choosing a List Name

    In the List Name field, type a descriptive name for your list, such as "Smith Wedding June 2009 list1".

  6. After selecting and verifying all list options, click Create New List.

    The envelope choices you selected above affect which screen will appear next.

    • If you indicated that you want to address outer envelopes, the Outer Envelopes Addressing window appears. See this step.
    • If you only selected the inner envelope, the Inner Envelope Addressing window appears. See this step.

Entering Information for Outer Envelopes

Instructions regarding entering information in a list for outer envelopes is described below. You must be at the Outer Envelopes Addressing window for this step.

Ensure you follow rules of etiquette for addressing envelopes. You will find such information immediately below the data entry fields of the Outer Envelopes Addressing window. When logged into AddressingOnline, you can also click here for etiquette rules.

  1. In the Outer Envelopes Addressing window, in the Salutation  field, select an appropriate salutation for the first list item.

    Ensure you use the proper form of salutation following rules of etiquette. You will find such information immediately below the data entry fields of this window.

    For example, for a married couple, select Mr. and Mrs.

  2. In the Name  field, type the name of the first list item, which corresponds to the first address on your invitations guest list.

    Ensure you use the proper form of names following rules of etiquette.

    For example, type John and Mary Smith.

  3. On the first Address  field, type the first line of the street address for this list item.

    Do not include apartment, suite, etc. on this line.

    Be sure to follow etiquette. For example, use digits only for house numbers. Spell out other numbers, such as "First Street". Do not use abbreviations for directions (North, South, etc.) or for Street, Road, Avenue, Boulevard, Place, Court, and so on.

    For example, type 123 South First Street.

  4. On the second Address  field, if relevant, enter additional address information, such as apartment, suite, room, etc.

    Do not abbreviate. Only use digits for appropriate numbers, such as "Suite 101" or "Apartment 3B."

    For example, type Room 29 South.

  5. If necessary, enter additional address information in the third Address  field.

    Remember not to abbreviate.

  6. For addresses in the United States, ensure the US option is selected, and do the following:

    • In the City  field, enter the name of the city, without abbreviations.

      For example, type Chicago.

    • In the State  field, select a state or territory of the US from the list.

      For example, select Illinois.

    • In the Zip  field, enter a Zip code or postal code.

      For example, enter 60290.

  7. Information for this first list item is complete for the outer envelope.

    • If you are not entering information for inner envelopes, click Enter to save this first list item (first address on your guest list). The screen will refresh, and the title will show that you are now entering information for Front of Outer Envelope - 2.

      Continue to enter information for your guest list by repeating this step.

    • If you selected the option to enter information for an inner envelope, do this now for the same guest. See the topic Entering Information for Inner Envelopes.

Entering Information for Inner Envelopes

Instructions regarding entering information in a list for inner envelopes is described below. You must be at the Inner Envelopes Addressing window for this step.

Ensure you follow rules of etiquette for addressing envelopes. Rules for inner envelopes deviate substantially from those for outer envelopes. For example, no addresses are included on the inner envelope. On second and subsequent lines on the inner envelope, you may include additional guest names if additional members of the family are welcome to attend. These names will not appear on the outer envelope.

You will find explanations of etiquette rules immediately below the data entry fields of the Inner Envelopes Addressing window. When logged into AddressingOnline, you can also click here for etiquette rules.

  1. In the Inner Envelopes Addressing window, in the first Guests  field, enter the name of the primary guests.

    If you also entered outer envelope information, the contents of this field are likely to be similar to the combined Salutation  and Name  fields, except for married couples, the woman's first name is typically not included if they both share the same last name.

    Ensure you use the proper form of salutation and names, following rules of etiquette. You will find such information immediately below the data entry fields of this window.

    For example, for a married couple, enter Mr. and Mrs. John Smith.

  2. On the second Guests  field, if additional guests in the family are invited, and they include minor children living in the same household, list the first names only on this line, in age order from oldest to youngest, regardless of gender.

    For example, type Lisa, Adam, and Julia.. Spell out the word "and."

  3. The third guest line is typically not used unless many children are invited and all the names will not appear comfortably on the second line. In this case, continue the children's names on the third line, placing approximately an even number of characters on each line.

  4. Information for this first list item is complete for the inner envelope. Click Enter to save this first list item (first address on your guest list). The screen will refresh, and the title will show that you are now entering information for a second list item (second guest, second envelope).

Editing an Online Address List

You can make changes to a list when its status is "OPEN.". Changes to lists include changing lettering style and ink options, editing list entries (addresses) that you have already typed, deleting list entries, adding new entries (addresses) to an existing list, and submitting the list, which verifies that you have carefully proofed the list and approve the printing on envelopes as specfied.

To make changes to an existing list, log into AddressesOnline. (For detailed steps, see Setting Up a List with AddressingOnline.)

This step proceeds from the View Your Lists window, which you see after you log in, or by clicking on the View Your Lists menu item at the top of the screen.

  1. From the View Your Lists window, click on the appropriate list name. The existing list menu appears in list view.
  2. Highlight the specific list entry you want to change.
    When highlighted, the selected list entry appears in the preview window as it will appear on the selected envelope.
  3. From the list view, to edit the entry, when highlighted, click Edit Entry and make your changes. When finished, click Update Entry. To cancel changes and return to the list, click Cancel.
  4. From the list view, to delete any specific list entry, highlight the entry and click Delete Entry. To confirm and delete, select OK in the popup window. To cancel the delete action and return to the list, click Cancel in the popup window.
  5. From the list view, to add additional names to a list, click Add to List. The standard list entry window appears. Make your additions and then click Enter. Enter any additional entries onto your list, clicking Enter each time. When you have finished adding records, click View Summary.
  6. From the list view, to view a printable list of all of the names and addresses you entered into a list, click the Printable List link under the Add Printing Options button. This appears at the bottom of the left-hand column on the page.
  7. From the list view, to download your list as a spreadsheet, click the Download List to Excel link under the Add Printing Options button. This appears at the very bottom of the left-hand column on the page. Note that this downloads a comma-separated values (CSV) format document with an ASP file extension, and can be opened by any text editor or spreadsheet program, or imported onto a database.
  8. From the list view, to submit your final approved, reviewed list for envelope printing, click the Submit List for Printingl button. You must carefully review all of the information you have entered, and compare it to your guest list, before submitting for printing. Rights and Responsibilities

This is a value-added service that we offer through our partner, Carlson Craft Social Division. Carlson Craft is solely responsible for operation of the web site for addressing your envelopes.

You are responsible for the information you enter into AddressesOnline. You, and only you, see the information as you entered it, and you approve the information for printing on your envelopes. Once you submit the list for printing, you are sending your approval to print all information as entered. At that point, the information is accessible to Carlson Craft, who guarantees that the information is only used for printing your envelopes.

By using this service, you warrant and agree that you understand these guidelines, that you accept your responsibility for carefully proofing the information you enter, and that Action Invitations is not responsible for any errors you make in list entry.
